Run your practice.
We run the technology.
IT, AI tools, and vendors for dental groups, clinics, law firms, and accounting firms with 20 to 100 employees.
Nobody owns the whole thing.
An IT provider, a dozen vendors, and employees adding AI tools on their own. Nobody owns the outcome.
Problems that come back
The same issue returns every month because nobody looks for the cause.
name response time the top reason to switch providers
Security nobody has tested
If ransomware hit tomorrow morning, do you know what your provider would do in the first hour?
doubt their provider could handle an attack
AI nobody is watching
Employees sign up on personal accounts. No list, no rules, no idea what it costs.
practices have no AI policy at all
It all comes from the same gap. Grayhaven closes it.
A week with Grayhaven.
Problems die for good
Fixed means fixed. We find the cause, not the symptom.
- Fixed in 14 minutes
- Cause removed, not patched
- 90 days later, still quiet
Ready before day one
New hires walk in with everything already working.
- Email and calendar
- Practice management access
- Workstation on her schedule
Renewals get caught
No contract auto-renews without a decision.
One accountable team.
Everything that used to belong to a different vendor runs under one contract and shows up on one dashboard.
Before Grayhaven, your office is tangled in direct connections to eight vendors. With Grayhaven, your office connects to Grayhaven, which manages all eight vendors.
Everything under one contract.

The AI Control Register
One record for every AI tool in your practice: what data it can touch, which agreement covers it, what it costs, and when it renews. Your cyber policy may not cover a tool nobody knew you had. The register is what you and your broker point to.
| Product | Data allowed | BAA | Training | Monthly | Renewal |
|---|---|---|---|---|---|
| Clinical scribe assistant | ePHI permitted | Signed | Disabled | $1,240 | Mar 2027 |
| Chat, enterprise plan | No PHI | n/a | Disabled | $890 | Jan 2027 |
| Imaging analysis add-on | ePHI permitted | Signed | Disabled | $2,100 | Aug 2027 |
| Front desk phone AI | Names, scheduling | Signed | Disabled | $640 | Nov 2026 |
| Coding review tool | De-identified | Pending | Unknown | $310 | Sep 2026 |
| Personal transcription account | Discovered | None | Unknown | ? | Flagged |
That last row is why the register exists.
Switching is the scariest part. We designed for it.
- The full plan is presented before you sign
- Zero downtime for phones, practice software, and email
- Onboarding cost can be spread across the term
- Your data and credentials stay yours, handed over in usable form if you leave
Confidence to leave is confidence to sign.
One number. Published scope. No surprise invoices.
Every agreement lists what the fee covers and what it does not.
Assessment
A full inventory of your systems, vendors, AI tools, and spend, plus a 90 day plan. Credited toward onboarding.

Co-Managed
For practices with an IT person on staff. We cover what your team does not.
Compare it to everything it replaces: your current provider, the software sprawl, the AI subscriptions nobody tracks, and your hours spent coordinating all of it.
Scope of service
- Help desk, all locations
- Devices and updates
- Backups, tested monthly
- Vendor calls and renewals
- AI accounts and agreements
- New location buildout
- Practice software migration
- New automation
- Hardware purchases
Common questions.
We already have an IT person. Does this still work?
Keep them. Our Co-Managed plan works alongside internal IT and takes the work they don't want: escalations, vendors, and AI oversight.
What happens after hours?
Urgent issues get a defined after-hours path. Routine requests wait for morning, and the agreement says which is which, so there's never a surprise bill for a Tuesday night password reset.
Do you handle HIPAA?
We sign BAAs, run our own security program, and vet every AI tool's agreement before it touches patient data. No vendor can make a practice compliant by itself, and we'll never claim otherwise.
How long are contracts?
Two to three years, with the exit terms written into the agreement. Committing long shouldn't mean being stuck, so leaving is designed to be safe.
Do we have to change our software?
No. We manage the tools you already run, and we'll tell you honestly when something is costing more than it's worth.
Who owns technology at your practice?
If the answer is several people, that is what we fix.
